Terms of Service
Draft policy — under reviewWelcome to Base Theory Works. We provide professional snowboard and ski tuning, maintenance, selected repairs, and appointment-based equipment pickup, delivery, and workshop drop-off services in the Denver, Colorado area.
These Terms of Service explain how bookings, payments, equipment handling, and services work. By submitting a booking request and accepting the applicable terms during checkout, you agree to these Terms.
1. Booking Requests and Approval
All services are subject to availability and acceptance by Base Theory Works.
Submitting a booking request does not guarantee an appointment. We review requests and confirm the approved services, pricing, and appointment details before requesting payment.
Once a booking is approved and its price is confirmed, we honor that price even if our published rates change afterward.
Any service or repair that increases the approved price requires your explicit authorization before additional work begins.
2. Payment and Reservation Confirmation
Approved bookings require payment within 12 hours after approval.
If payment is not completed within that period, the payment link expires and the reservation is released. You may submit a new request, subject to current availability and pricing.
Payments are processed through a third-party payment provider. Base Theory Works does not collect or store complete payment card numbers on its website.
3. Services and Turnaround Times
Standard snowboard and ski tuning generally has an estimated turnaround of 2–3 business days from the agreed service intake date.
We confirm the expected completion date for each approved booking. Complex repairs, specialty services, equipment condition, and workshop demand may require additional time.
Turnaround estimates are service targets rather than unconditional completion guarantees. If a significant delay occurs, we will notify you and provide an updated estimate.
4. Equipment Inspection and Service Suitability
We inspect equipment when it is received and may document existing wear, damage, or unusual conditions through photographs and workshop notes.
Base Theory Works may decline a service if equipment is unsafe, excessively damaged, incompatible with the requested procedure, or otherwise unsuitable for the work.
When appropriate, we will explain our findings and offer a safe alternative. Alternative services or additional charges require your approval.
If the requested service cannot be performed, unperformed work will be refunded in accordance with our Cancellation & Refund Policy. Completed transportation charges remain subject to that policy.
5. Authorization for Tuning and Repairs
Your approval of a tuning service includes authorization for the normal procedures inherent in that service, which may involve routine sharpening of metal edges and appropriate removal of base material.
We will seek separate, explicit approval before performing significant modifications, unusual material removal, structural repairs, or work outside the originally authorized scope, even if there is no additional charge.
Standard visual inspections and repair estimates are complimentary. Any fee for specialized diagnostics or extensive evaluation must be disclosed and approved beforehand.
6. Customer-Supplied Products
Customers may request the use of their own waxes or specialty products, subject to approval before service.
We may decline products that are unsuitable, unsafe, incompatible with the equipment, or potentially harmful to workshop machinery or materials.
Our normal service prices apply unless a different arrangement is expressly agreed upon.
7. Ski Binding Services
At launch, Base Theory Works does not provide ski binding mounting, adjustment, release testing, or certification.
Customers requiring those services should consult a qualified ski binding technician.
This limitation does not prohibit snowboard binding setup services that are expressly offered and approved.
8. Equipment Pickup, Delivery, and Workshop Drop-Off
Workshop drop-offs are available by confirmed appointment at our Bear Valley location in Southwest Denver. The exact address is provided privately after your appointment is approved and payment is confirmed.
Our standard pickup and delivery transportation charges are:
- Up to 8 driving miles from the workshop: $15 per order.
- More than 8 and up to 15 driving miles: $30 per order.
- Beyond 15 driving miles: Individually quoted, subject to approval and availability.
The standard transportation fee covers the originally scheduled pickup-and-return service for an order.
Once the initial equipment pickup has been completed, the full standard transportation fee is earned and is not refundable if the customer subsequently cancels the service.
Following a cancellation, the return of collected equipment must be arranged separately. Customers may arrange an approved workshop collection or agree to an additional return delivery.
Any additional transportation fee will be disclosed and must be accepted before the additional service is scheduled.
Extended-distance transportation is subject to an individually approved quote and its disclosed cancellation terms.
Base Theory Works will not impose additional transportation charges without customer authorization.
9. Appointment Changes and Missed Appointments
Customers may reschedule confirmed appointments without charge when at least two hours' notice is provided, subject to availability.
Shorter-notice requests are reviewed individually.
A $15 missed-appointment fee may apply when Base Theory Works arrives for a confirmed pickup or delivery and the customer or equipment is unavailable.
Reasonable exceptions may be made for emergencies, severe weather, or scheduling problems caused by Base Theory Works.
10. Weather and Safety Delays
We may postpone pickup, delivery, or service completion when weather or road conditions make travel unsafe.
Affected customers will be notified promptly and provided with revised scheduling information.
No missed-appointment or rescheduling fee applies to weather-related changes.
11. Equipment Handoffs and Authorized Representatives
Customers may arrange for secure, unattended equipment pickup or delivery with prior authorization.
Acceptable arrangements may include a designated representative, authorized building concierge, or agreed secure location.
We may decline an unattended handoff if the location presents an unreasonable risk of loss, theft, or damage.
Handoffs may be documented using photographs or written confirmation.
Customers may authorize another person to collect equipment from the workshop. The authorized collector must be identified in advance and may be required to provide identity verification or an agreed pickup code.
12. Early Drop-Offs
Equipment may be delivered before its scheduled service appointment only with prior approval.
Approved early drop-offs do not incur an additional advance storage fee.
The standard turnaround period begins on the agreed service intake date, unless we confirm a different schedule.
13. Equipment Storage and Collection
Customers receive 14 calendar days of complimentary equipment storage after being notified that service is complete and the equipment is ready for return.
Beginning on day 15, a storage fee of $5 per calendar day, per piece of equipment, may apply. Storage terms and fees will be disclosed in advance, and we will provide courtesy reminders before fees begin.
Extended storage arrangements may be approved in advance.
If equipment remains unclaimed for 90 calendar days, Base Theory Works may begin a formal review, including documented efforts to contact the customer and written notice.
The 90-day review is not an automatic abandonment or ownership-transfer deadline. We will follow applicable Colorado law before taking any action to sell, dispose of, or otherwise transfer unclaimed equipment.
14. Equipment Care, Damage, and Loss
Base Theory Works takes reasonable precautions to protect customer equipment during inspection, service, storage, handling, and transportation.
We document known or observable pre-existing conditions when practicable.
If Base Theory Works causes equipment damage, we will investigate and arrange an appropriate repair or fair compensation when repair is not feasible.
If equipment is lost or stolen while in our custody, we will document and investigate the incident and address compensation fairly, considering the equipment's age, condition, and reasonable replacement value.
Pre-existing damage, existing wear, and unrelated defects are evaluated separately.
Nothing in these Terms is intended to exclude responsibility that cannot lawfully be excluded.
15. Workmanship and Service Satisfaction
Customers may report service-quality concerns within seven calendar days after receiving their equipment.
We will evaluate reported concerns and correct verified workmanship defects in services we performed at no additional charge.
Ordinary wax wear, edge dulling from riding, new impact damage, and performance changes resulting from snow or riding conditions are not automatically considered workmanship defects.
This reporting window does not limit any rights or remedies that cannot lawfully be restricted.
16. Service Completion and Documentation
When service is complete, we will notify you that your equipment is ready for pickup or return.
Every completed order will include a digital service summary describing the work performed, significant equipment findings, and relevant care recommendations.
Detailed technical workshop records may be maintained separately.
17. Customer Communications
We send service-related communications, including equipment receipt, matters requiring approval, significant delays, and completion or return information.
Email is our standard communication method. Optional SMS notifications may be introduced with appropriate customer consent.
Marketing communications are separate from necessary booking and service messages.
18. Cancellations and Refunds
Our separate Cancellation & Refund Policy explains cancellation eligibility, charges for completed work and transportation, refund methods, and processing timelines.
That policy forms part of these Terms.
19. Privacy
Our Privacy Policy explains how we collect, use, disclose, and retain customer information.
20. Governing Law and Customer Rights
These Terms are intended to operate consistently with applicable federal, Colorado, and local laws.
Nothing in these Terms limits consumer protections or other legal rights that cannot be waived.
